Document « EVET: volunteers reminder »

 

Evet sends you every day by email your operations made on volunteers, in the form of a sheet, for inscriptions, confirmations, transfers and cancellations.

 

The sheet has one line per operation (it is possible to have 2 operations or more for the same volunteer) : on each of them, the complete data of the volunteers are displayed , together with the information regarding his/her placement (on request, confirmed) and the fees paid (with mention of due fees or over paid fees).

 

The information contained in the spread sheet allow you to create a letter to send to the volunteers (by making a fusion of document). According to cases :

 

 

-         A receipt of volunteer’s application

-         A letter of confirmation

-         A letter of transfer

-         A letter indicating the cancellation of the application (if requested by the volunteer)

-         une lettre indiquant l’annulation de l’inscription (si demandée par le participant)

 

You can keep the « document de fusion », that will allow you if necessary to find the trace of a letter sent to a volunteer, with date. NB : this document concerns the applications of your volunteers, placed on your camps or your partners’ camps (not those placed through evet by your partners, for your camps).

 

 

Document « EVET: exchanges with partners »

 

At the same time as the preceding document, evet also sends you every day by email your operations made with partners, in the form of a sheet, for inscriptions (of your volunteers and of your partners’s volunteers), confirmations, transfers and cancellations.

 

The sheet presents one line per partner, and allow you to create letters to be sent do your partners :

 

-         applications of your volunteers on the workcamps of your partners,

-         confirmations of your partners’volunteers placed on your camps

 

These letters are obtained by a fusion of document. You create one document with all the letters for your partners, then you copy/paste each letter in your email message to be sent to each partner.

If you create a fusion document from the data sent to you daily by evet (tovolt), you have noticed that the dates on your document are displayed in American format : MM/dd/yyyy. If you wish to restore the presentation in the following format : dd/MM/yyyy, please follow this simple procedure :

 

-          open your fusion document,

-          press ALT + F9 (at the same time), to display the codes of the fusion fields,

-          identify the dates you need to change. Ie, the field “available_from” is displayed as { MERGEFIELD available_from }

-          at the end of each date (inside the brackets), add \@ dd/MM/yyyy. The field “available_from” will therefore be reformatted as { MERGEFIELD available_from \@ dd/MM/yyyy}

-          press again ALT + F9

-          launch fusion of documents

 

If the fields are not properly displayed, perhaps you left extra spaces. One space is needed before /@, one after /@ and that’s all.
