1.    TEAM

This menu allows to reach the list of participants on projects organised by your organisation. You get details concerning the volunteers and camp leaders on your projects. It also allows you to update infosheets of the projects organised by your organisation : you can add infosheets, update or delete them.

1.1.         MODULE

The module displays again the different sections of the Team menu.

 

These actions are also accessible directly in the sub-menu of the Participants menu.

1.2.         LISTINGS PRESENT

This section allows you to reach the list of participants in a project organised by your association.

 

Indicate the starting dates and type of project you are looking for. If you have this information, select in the scroll menu the project code and name.

To select several types of project or several projects, push control key + left  click on the mouse.

Are displayed the various projects matching the criteria of your search :

Information on the project : code, name, dates, type for work (defined in codes), type of project, number of participants.

The last column allows you run 3 actions for each project listed :

·          READ :

This action allows you to see the list of participants on the project selected.

The first column indicates the camp leader of the project.

For each volunteer, following information is displayed: sending organisation (code), country of origin, name and sex, birth date and age, if volunteer is handicapped, if volunteer confirmed his/her participation, effective presence date on the project, if volunteer is considered as a potential camp leader.

 

·         The last column allows you to make changes for each volunteer:

You can indicate if the volunteer is a potential camp leader, his/her effective presence dates on the project,

To validate, click on  

·        UPDATE

This action allows you to update presence lists, to indicate the arrival and departure date of each volunteer and camp leader, to indicate if a volunteer is a potential camp leader, a click on the buttons in column ? indicate the effective presence of the volunteers and campleader on the project.

Click on  to validate the data.

1.3.         ADD/ DELETE/ UPDATE INFOSHEETS

This section allows you to update the infosheets of the projects organised by your association: you can add some, update or delete them.

Indicate the starting dates and type of projects you look for. If you have this information, select in the scroll menu the project code and name.

The last column indicate if the infosheet is available online.

One action is possible :

It allows you to update the internet address to be used by your partners to have direct access to the infosheets.

You can add internet links to the infosheets for your projects from the Project menu or the Teams menu by clicking on the icon .
You can see the infosheets linked to the projects with a click on
 (yours as well as those of your partners) from the Project module.
You can save the infosheets files wherever you want (your organisation's website or your personnal website).

You must publish the infosheets in .TXT format, pdf (Adobe Acrobat), zip, or rar (compressed format). We suggest that you use the pdf format for reasons of confort and security.
The length of the name of the file is not limited. The only limit is that no spaces must be used.
Once you have saved your(s) infosheets on the internet, go to the Teams menu and choose the option Infosheet by clicking on the icon
. Write the complete URL address where the infosheet is with http://www.xxxxxxxxxxxxxx.xxx/repertoire/nom.extention. If the address is not correct you wil not be able to see the infosheet.
Once you
, you can click on the icon to verify that the link works and that you can see the sheet.
If you change the URL address for an infosheet that is already saved, you can clik on the incon
to see the sheet that was saved.
In the Project menu, the project list also allows you to see the infosheets that were saved by your partners and to verify and modify yours.
To add an infosheet to one of your partners' projects (if your partner does not use e-vet) , you must log in, using your partners login name and password.
Only one infosheet is allowed per project.
Volunteers can access infosheets from your website (if you have given them access to it and if you have e-vet's authorisation) under the following conditions:
- If the volunteer is accepted to a project
- If he volunteer has confirmed his participation to the project
- If the volunteer has not cancelled his participation.
Each time an infosheet is seen by a participant, the information concerning the user, the IP address and the time of connection will be registered for security reasons.

In the descriptions, you may use html codes to indicate hypertext links such as email address or addresses of useful websites.

Use codes (<a href=“mailto:xxxxx@xxxxx.xxx”>texte du lien </a>) for an email address and <a href= “http://www.xxxxxx.xxx”> text of you web server link </a>.

Example :

Your project FRT321 has an infosheet in pdf format on your web server a the address :

http://www.monsite.org/infosheet.frt321.pdf

You only need to write in this field : project address and the following text :

<a href=“http://www.monsite.org/infosheet/frt321.pdf”>download infosheet</a>

Your partners will be able with a simple click, to get the updated version of you infosheet.
