1.    LISTINGS

This section allows you to extract quickly information related to application files. This information is presented in lists

1.1.         MODULE

This section allows you to view the different sections of the menu Listing displayed in boards.

 

The module allows you to reach information classified in 3 parts :

1. Your national volunteer : The same

 

information is available directly in the sub-menu of the Listing

2. Volunteer on your projects: available information concerns volunteers not confirmed on your projects, the volunteers placed on your projects, the volunteers placed and confirmed who need entry visas (that can be found in the sub-menu of the listing) and camp leaders list.

3. For each organisation : information available concerns the organisations : (see List organisations) and Fridaylists and reservations


 

1.2.         YOUR NATIONAL VOLUNTEER

This section allows you to search participants members of your organisation according to different criteria :

 

 

According to payment (incomplete or undue payment), according to incomplete files, according to the state of the application if it has been blocked. The criteria search can concern the necessity for a visa for confirmed participants or concern the cancellations from participants. Finally, the search can concern the files according to the organisation where volunteers have been sent, according to the type of fees paid by the volunteers. Finally, the accountancy listing allows you to search for volunteers according to the date of payment of project or project made.

 

Select the option chosen to launch the search.


·         LIST OF INCOMPLETE PAYMENTS

State approximate project starting date.

The date must be typed as follows : DD(day)/MM (month)/YYYY (year).

Then state the type of project for which the search on incomplete payment is made, the selection is made in the scroll menu placed under this title. If you ignore the type of project concerned, select the option All.

Finally, if you know it, indicated the project code and name in the scroll menu.

Select  to launch the search.

The result of the search is displayed on the screen:

You can view the name of the volunteers whose payments are incomplete, in order of project starting date and in alphabet order.

You obtain a quick and clear information on these participants. Their phone number, email address (with a click on, you can send them an email directly). You can also view quickly the project code on which the participant is placed, starting and ending project dates, the type of workcamp and finally if the request is accepted or cancelled.

Final information is the amount owed by the volunteer.


·         LIST OF POSITIVE BALANCES

State approximate project starting date.

The date must be typed as follows : DD(day)/MM (month)/YYYY (year).

Then state the type of project for which the search on incomplete payment is made, the selection is made in the scroll menu placed under this title. If you ignore the type of project concerned, select the option All.

Finally, if you know it, indicated the project code and name in the scroll menu.

Click on  to launch the search.

The result of the search is displayed on the screen:

You can view the name of the volunteers to whom you must refund fees, in order of project starting date and alphabet order.

You obtain a quick and clear information on these participants. Their phone number, email address (with a click on, you can send them an email directly). You can also view quickly the project code on which the participant is placed, starting and ending project date, the type of workcamp and finally if the request is accepted or cancelled.

Final information is the amount to be refunded to each volunteer.

·         LIST OF INCOMPLET FILES

State approximate project starting date.

The date must be typed as follows : DD(day)/MM (month)/YYYY (year).

Then state the type of project for which the search on incomplete payment is made, the selection is made in the scroll menu placed under this title. If you ignore the type of project concerned, select the option All.

Finally, if you know it, indicated the project code and name in the scroll menu.

You obtain a quick information on the different documents missing to complete each  volunteer’s file.

·         LIST OF BLOCKED FILES

State approximate project starting date.

The date must be typed as follows : DD(day)/MM (month)/YYYY (year).

Then state the type of project for which the search on incomplete payment is made, the selection is made in the scroll menu placed under this title. If you ignore the type of project concerned, select the option All.

Finally, if you know it, indicated the project code and name in the scroll menu.

Click on  to launch the search.


·         LIST OF CONFIRMED VOLUNTEERS NEEDING A VISA

State approximate project starting date.

The date must be typed as follows : DD(day)/MM (month)/YYYY (year).

Then state the type of project for which the search on incomplete payment is made, the selection is made in the scroll menu placed under this title. If you ignore the type of project concerned, select the option All.

Finally, if you know it, indicated the project code and name in the scroll menu.

Click on  to launch the search.

The result of the search is displayed on the screen:

The main information on volunteers registered or confirmed for a project for which a visa is needed is displayed as follows: birth date, passport number, confirmed project code and name (then is easily deduced the country of destination), type of project and dates.

·         LIST OF CANCELLED REGISTRATIONS

State approximate project starting date.

The date must be typed as follows : DD(day)/MM (month)/YYYY (year).

Then state the type of project for which the search on incomplete payment is made, the selection is made in the scroll menu placed under this title. If you ignore the type of project concerned, select the option All.

Finally, if you know it, indicated the project code and name in the scroll menu.

Click on  to launch the search.

The result of the search is displayed on the screen:

 

The main information on volunteers cancelled for a project is displayed as follows: cancelled project code and name, (then is easily deduced the country of destination), type of project and dates, cancellation date.

·         LIST OF FILES BY PARTNERS (outgoing)

This option allows you to view the lists of registered volunteers (outgoing) on the different projects of partner organisations.

Select in the scroll menu the type of project organised by the concerned partner organisation.

The select the name(s) of the organisation(s) for which you need this information.

Click on

The list of volunteers registered on the projects of the selected partner organisations is displayed in alphabetic order.

You obtain a quick information concerning the different participants : surname, sex, nationality, zip code and town of residence. The partner organisation’s code and its country, the project’s name, code and dates for which the volunteer is registered.

Finally the date when the application was registered and volunteer’s bill number. To get extra information on the volunteer, select :

·         SEARCH BY TYPE OF FEES

This section allows you to make a research on volunteers by selecting various criteria concerning type of fees paid to your organisation:

This can be for example :

- the membership fee

- travel insurance

- visa fee

- minors’ extra fee

- the invitation letter required to obtain a visa for Russia

- subscription to the newspaper (La Brouette)     

- preparation seminar for the ICYE programme : extra fees for volunteers aged over 25…

Select the type of fee that matches with you research

Indicate the date of creation of the fee if you know it.

Click on   to launch the search.

The result of the search is displayed on the screen:

Participants having applied for cancellation insurance are displayed in alphabetic order.

You get a quick information on the names of the participants, birth date and address, and dates when they are available.

You also know the project code and dates where they are registered, the countries where the projects take place and if the volunteers are confirmed (status)

Finally, you can view the inscription fees still owed by the participants.

·         ACCOUNTANCY LISTING

State the approximate dates of payment

Select the project code and name in the scroll menu

Click on

Then, you get the list of volunteers who are members of your organisation. The list is in alphabetic order. You get quick information about the payment of the participants.

Information on the participants: surname, bill number, project code where the volunteer is registered, inscription date.

Total amount to be paid by each volunteer to your organisation, and the total amount already paid (total paid).

For each transaction are indicated the amount and type of payment (cash, cheque, credit card) and the date of this payment. If the fees concern a transferred file (therefore a transfer of project), this information appears in the column type of payment.

The last column indicates (with a click on), in case of transferred file, the bill number of the first application.


 


1.3.         VOLUNTEERS ON YOUR PROJECTS

This section allows you to get information on the participants placed on your own projects

 

This information is displayed in lists.

You can search list of non confirmed participants on your projects, or volunteers on your projects, or list of confirmed participants for visa.

 

·         LIST OF NON CONFIRMED PARTICIPANTS ON YOUR PROJECT

State approximate project starting dates between which you search for not confirmed participants. Participants’ confirmation is made according to the mode chosen by the organisation: sending of a letter, internet site …

The date must be typed as follows: DD(day)/MM (month)/YYYY (year).

Then state the type of project for which the search is made, the selection is made in the scroll menu placed under this title. If you ignore the type of project concerned, select the option ALL.

Finally, if you know this information, select the project code and name with the scroll menu.

Click on

The list is displayed according to project starting date, and then in alphabetic order.

You then have quick information displayed in list of participants registered and not confirmed. You can view the name, phone number, email address of the volunteer, the code, starting date and type of project where the participant is registered. Finally, the last column indicates if the request of the participant is accepted.

·         LIST OF VOLUNTEERS ON YOUR PROJECTS

State approximate project starting dates between which you search for not confirmed participants.

The date must be typed as follows: DD(day)/MM (month)/YYYY (year).

Then state the type of project for which the search is made, the selection is made in the scroll menu placed under this title. If you ignore the type of project concerned, select the option ALL.

Finally, if you know this information, select the project code and name with the scroll menu.

You can also scroll the various projects with the scroll menu. When you see the project you need, select it in the last column (list).

The list of participants on the project is displayed on the screen.

The list of participants to your project is displayed in alphabetic order.

The first column states if the volunteer is the camp leader of the workcamp. The other information concerns:

- the surname, first name and sex of the participant,

- his/her organisation and country of origin

- his/her birth date and age

- if he/she is handicapped

- his/her confirmation date

- his/her presence date on the workcamp

The last column allows you to reach the participant’s VEF, which is originating from :

.  your organisation if the participant is a member of your organisation,

.  a partner organisation that filled it on the E-vet programme,

. another means from a partner organisation non member of E-vet, the user having the status of guest having filled it.


·         LIST OF REGISTERED AND CONFIRMED PARTICIPANTS FOR VISA ON YOUR PROJECTS

State approximate project starting dates between which you search for not registered and confirmed participants needing a visa.

The date must be typed as follows : DD(day)/MM (month)/YYYY (year).

Then state the type of project for which the search is made, the selection is made in the scroll menu placed under this title. If you ignore the type of project concerned, select the option ALL.

Select in the first column the partner organisations for which you need information on their registered participants on your projects who need a visa (you can select as many as you need).

Click on   to launch the search.

The result of the search is displayed on the screen:

The main information concerning the registered and confirmed participants on one of your projects for whom a visa is required is displayed:

- surname and first name    (sex)

- birth date

- passport number

- name, code and country of sending organisation

- name, code and dates of the project he/she is accepted on

- dates for which a visa is required (to be used for the invitation letter)

- his/her inscription date for the project

You can change this information by clicking on


 

1.4.         LIST ORGANISATIONS

This option allows you to obtain quick information on partner organisations.

 

 

Enter the code of the organisation for which you need information.

Click on

You obtain information on the partner organisation :

its name, code, country and language

if the organisation is active

if it is member of a network like ICYE, the Alliance

if it is a member of E-vet

its phone and fax numbers, its postal address

the name of the director

the various email addresses for short term programmes (incoming and outgoing), long term programmes (EVS, ICYE), for camp leaders, and to contact the director.

(you just need to select the address - in blue colour - to send an email).


 

1.5.         LIST OF CAMP LEADERS

This option allows you to view the list of camp leaders and their placement on the workcamps.

 

The list is given in alphabetic order of regions and departments, then in alphabetic order of workcamps. You can view:

name and code of the workcamp, the region and department where it takes place.

The name of the camp leader, its data (email address if you select his/her surname, postal address, phone numbers, sex, age, nationality and confirmation date.


 

1.6.         FRIDAYLISTS AND RESERVATIONS

With this option you have the possibility to know the available places on the projects of the organisations (Fridaylists). You can also make reservations through E-vet programme.

Select the option you need:

*   Fridaylist :

the list of workcamps and free places are displayed on you monitor.

*   Update of Fridaylist :

you can change this Fridaylist by indicating the total number of places available according to sex, places available for minor volunteers. The last column indicates the nationalities in excess (therefore placements on the project should be stopped for these nationalities, however this information is given as an indication and you can still place volunteers from these nationalities).

have updates, click on

When all your partners are E-vet members, the Fridaylists will be updated online automatically.

*   Reservations :

this option allows you to book places for your participants. During the TM in March, some organisations wish to book places on your projects. They can therefore keep places until the deadline agreed. The number of places you can book depends on the policy of each organisation.
