The new version of e-vet includes a new module that enables organisations to accept application forms directly from their websites.

I order to ensure secutiry, and to prevent any intervention on the modality of acceptation of the applications (payement, conditions, ...), the information is registered in an intermadiary table.

The vollunteer will be able to fill all the form or a part of it. However, several fields are compulsory: surname, firstname, birthdate and place, sex, address, email and telephone (the accuracy of this information cannot of course be verified).

The volunteer can chose up to 6 projects directly from the base (only the partners' projects with avalabilities are displayed).

The volunteer can also fill the codes of the projects that are not be found in the base (ie, full projects) (2 options)

Or select a project from waiting list

In this case, the volunteer should complete the fields dates of availability, country, type of workcamp and work to make back office work easier

 

 

The volunteer will be able to write his/her motivations, remarks, indicate if a friends applies for the same camp, etc
Once entered and validated, this information is displayed once again for confirmation.
Once the volunteer confirm his application form

A page of information guides the volunteer on the process to follow, indicates the amount of inscription fees and extra fees of his/her first choice, is informed of the date when his/her request will be cancelled (1 to 10 days according to each organisation) and one unique reference to make the payement transaction easier.

The same information is sent to his/her email address automatically.

An email is also sent to the organisation with the data completed, in the form of a VEF.

According to each organisation, a link to the calculation or payment module can be integrated.

The new version of e-vet indicates at the connection, the number of files waiting sent from the website

From the menu Volunteers, your can access easily to the module Waiting Applications from website

Surname, firstname, sexe, nationaliry, birthdate and place, email, date and time of inscription and login are displayed.

After six days, a red indicator of number of days is also visible in the column date, to display more clearly the applications that will need to be suppressed

During transfers, evet checks the base to see if a file with the same name already exists

The search criteria are :

Surname, first 4 letters of the firstname, birthdate, sex

 

If no matching is found, the user will click on transfer confirmation, to transfer the data of the application to e-vet

(Beware : only the information of the volunteer's file is transfered, and not the information regarding participation in a project)

If matching is found, it will be displayed on top of the file to transfer

The user will have the possibility either to user an existing file (even from previous years) and add a new application

In order to make sure that the file found in e-vet and the inscription from the website concern the same volunteer, the user can click on the button see to view the 2 files to compare them and decide how to proceed.

 

 

Once the confirmation is validated, the information is transfered to e-vet, the user gets back to normal screen to register an application

 

The file originating from the website is then suppressed

In order to ensure the best process, we remind you that the selection of workcamps made by the volunteer is not transfered to evet, and that it will be up to you, once the volunteer's file created, to add the workcamp selection by using the VEF of the volunteer that you previously printed for your archives. A copy of this VEF has been sent to you by email during the creation of the file, so if you forget to print it by using the button VEF, you can always get a copy back from your emails.
